Job Summary:

The Reservation Specialist is responsible for managing confirmed files from the Sales team. They ensure the booking, follow-up, and coordination of all services to guarantee a smooth and high-quality client experience. This role involves monitoring payments to suppliers, ensuring flawless group production, and maintaining proactive communication with the Sales team and service providers.


Key Responsibilities:

  • Book all services (accommodation, transfers, restaurants, activities, additional services, etc.) for confirmed Sales files.
  • Check availability and confirm each service with suppliers in a timely manner.
  • Monitor and manage payments to suppliers and confirm financial transactions.
  • Coordinate operational execution of groups to ensure all elements of the program are delivered as planned.
  • Work closely with the Sales and Operations teams to quickly resolve any issues.
  • Maintain strong relationships with suppliers and ensure quality standards are met.
  • Keep booking and group files up to date.
  • Provide clear and proactive communication to internal clients (Sales, Operations) regarding the status of bookings and group programs.


Requirements / Qualifications:


  • Previous experience in a similar role within a DMC / travel agency
  • Excellent organizational skills, attention to detail, and accuracy.
  • Ability to manage multiple files simultaneously and meet deadlines.
  • Strong written and verbal communication skills.
  • Proficient in IT tools (Excel, booking systems, internal tracking tools).
  • Fluent in English; additional languages are a plus.
  • Team player with the ability to manage priorities independently.
