Job Title: Senior Administrative Assistant

Job Type: Full-time

Job Summary:

We are seeking a highly organized, detail-oriented Senior Administrative Assistant to support senior attorneys, consultants, and/or executives in a fast-paced professional environment. The ideal candidate will have a strong administrative background, exceptional communication skills, and the ability to handle sensitive and confidential information with discretion. Prior experience in a law firm or consulting office is highly desirable.

Key Responsibilities:

  • Provide high-level administrative support to partners, consultants, or senior executives.
  • Manage complex calendars, including scheduling meetings, court dates, client consultations, and internal reviews.
  • Prepare, proofread, and edit legal or consulting documents, presentations, reports, and correspondence.
  • Coordinate domestic and international travel arrangements, including itineraries and expense reporting.
  • Organize and maintain electronic and paper filing systems, ensuring confidentiality and compliance with firm policies.
  • Liaise with clients, courts, vendors, and other external stakeholders professionally and efficiently.
  • Assist with the preparation of client billing, invoices, and expense tracking.
  • Support internal meetings by preparing agendas, taking minutes, and following up on action items.
  • Supervise or mentor junior administrative staff as needed.
  • Perform special projects and other duties as assigned.

Qualifications:

  • Education: Associate’s or Bachelor’s degree in Business Administration, Legal Studies, or related field preferred.
  • Experience: Minimum 5 years of administrative experience in a law firm, consulting office, or professional services environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management software (e.g., iManage, NetDocuments).
  • Familiarity with legal terminology, billing platforms (e.g., Clio, Timeslips), or project management tools is a plus.
  • Excellent written and verbal communication skills.
  • Strong organizational, multitasking, and time management abilities.
  • Ability to work independently and exercise sound judgment in a high-pressure environment.
