Job Title: Office Manager to the CEO

Location: Kingdom of Saudi Arabia (KSA)

Department: Administration

Reports to: General Manager / Operations Manager

Job Summary

The Office Manager is responsible for overseeing the daily administrative and operational functions of the office to ensure efficiency, compliance with Saudi labor regulations, and smooth coordination between departments. The role supports management, staff, and external stakeholders while maintaining a professional and organized workplace.

Key Responsibilities

Administrative & Office Operations

  • Manage day-to-day office operations and ensure a productive work environment
  • Maintain office supplies, equipment, and facilities
  • Coordinate with vendors, service providers, and landlords
  • Manage office budgets, petty cash, and expense tracking

HR & Government Relations (KSA-Specific)

  • Coordinate with HR on employee records, attendance, and leave management
  • Handle government portals and compliance such as Absher, Muqeem, GOSI, Qiwa, and Mudad
  • Assist with visa processing, iqama renewals, medical insurance, and employee onboarding/offboarding
  • Ensure compliance with Saudi Labor Law and company policies

Communication & Coordination

  • Act as the primary point of contact for internal staff and external visitors
  • Prepare official correspondence, reports, and presentations in Arabic and/or English
  • Schedule meetings, manage calendars, and organize company events

Documentation & Records

  • Maintain organized filing systems (physical and digital)
  • Ensure confidentiality of company and employee records
  • Support audits and inspections when required

Management Support

  • Assist senior management with administrative tasks and reporting
  • Monitor office performance and suggest process improvements
  • Support implementation of company policies and procedures

Qualifications & Skills

Education

  • Bachelor’s degree in Business Administration, Management, or a related field (preferred)

Experience

  • 3–5 years of experience as an Office Manager or Senior Administrator
  • Prior experience in Saudi Arabia is highly preferred

Skills

  • Strong knowledge of Saudi labor laws and government platforms
  • Excellent organizational and multitasking skills
  • Strong communication and interpersonal abilities
  • Proficiency in MS Office (Word, Excel, PowerPoint)
  • Ability to work independently and handle confidential information

Language

  • Arabic: Fluent (spoken and written)
  • English: Very Good working proficiency
