Position Purpose:
The Documentation & Data Entry Officer is responsible for preparing and managing all shipping documentation related to bulk agricultural commodities (such as wheat, rice, barley, corn, soybeans, and others). The role ensures accurate preparation of export and imports documents, coordination with shipping lines, surveyors, and port agents, and precise updating of shipment data to support smooth logistics and operational workflows
Key Responsibilities
1. Shipping Documentation Preparation
- Prepare and review export and import documentation including:
- Verify compliance with customs, port authority, and agricultural regulatory documentation.
2. Coordination & Operational Follow-Up
- Follow vessel operational documents.
- Monitor vessel schedules, loading/discharging timelines, and shipment progress.
3. Data Entry & System Updates
- Record and update accurate shipment data including commodity type, quantities (MT), vessel name/voyage, POL/POD.
- Track and document vessel movement stages (arrival, departure, loading start/finish, daily progress).
- Maintain organized digital and physical archives of all shipping documents.
4. Reporting & Record Keeping
- Prepare daily and weekly shipment status reports.
5. Compliance & Standards
- Ensure documentation and data accuracy in accordance with internal standards.
Educational Background:
Bachelor’s degree in Logistics, Business Administration, International Trade, Maritime Transport, or a related field.
Skills & Knowledge Requirements:
- Strong knowledge of export/import documentation.
- Basic understanding of bulk cargo handling and shipping operations.
- Familiarity with Incoterms (FOB, CFR, CIF).
- Strong communication skills (English proficiency required).
- High accuracy in data entry and documentation handling.
- Dealing with Nafeza platform and cargoX platform

Years of Experience:
1–3 years of experience in documentation, freight forwarding, or shipping (preferred).
Technical Skills:
- Excellent document handling and organization.
- Strong understanding of shipment documentation workflows.
- Ability to prepare structured reports (written & Excel-based).
- Attention to detail and accuracy in data handling.
- Knowledge of agricultural commodities shipping is a plus.
