Role Description

The IT Systems & Network Administrator is responsible for maintaining the stability, security, and efficiency of the organization's IT infrastructure. This includes managing helpdesk operations, ensuring network and server performance, maintaining security devices—especially the FortiGate Firewall—as well as overseeing Microsoft 365 administration and employee onboarding. The role also includes managing company-wide software licenses and IT subscriptions.


Responsibilities & Duties:

1. IT Support & Helpdesk Operations

  • Provide first- and second-level support for hardware, software, and network-related issues.
  • Respond to and resolve user requests in a timely and professional manner.
  • Maintain documentation of incidents, resolutions, and recurring issues for continuous improvement.

2. Network Administration

  • Monitor and maintain LAN/WAN infrastructure, ensuring stable and secure connectivity.
  • Manage and configure network switches, routers, and wireless access points.
  • Troubleshoot connectivity issues and ensure proper network segmentation and performance.
  • Manage and monitor internet connectivity and bandwidth utilization.

3. Firewall & Security Management

  • Administer, configure, and maintain the FortiGate Firewall (VPN setup, policies, rules, security profiles, and firmware updates).
  • Monitor network security alerts and respond to potential threats.
  • Ensure compliance with company security policies and implement network security best practices.

4. Server & Active Directory Management

  • Manage on-premises Windows Server environments, including file sharing, DNS/DHCP, and backups.
  • Administer Active Directory: user accounts, organizational units, group policies, and permissions.
  • Perform regular server maintenance, updates, and performance monitoring.

5. Microsoft 365 & Cloud Services

  • Manage the company’s Microsoft 365 tenant including user accounts, licenses, and security policies.
  • Configure and manage Exchange Online mailboxes, SharePoint, and Teams access.
  • Support integration between on-premises AD and Azure AD (hybrid environment, if applicable).

6. IT Onboarding & Offboarding

  • Handle IT-related onboarding for new employees: create user accounts, assign licenses, configure devices, and set up emails and network access.
  • Disable accounts, back up user data, and reclaim licenses during offboarding.

7. Hardware & Asset Management

  • Maintain an updated inventory of IT assets (computers, printers, network devices, phones).
  • Coordinate hardware installation, maintenance, and upgrades.
  • Ensure that equipment and software are compliant with company standards and licensing.
  • Coordinate with external vendors and service providers for IT-related devices, software, and services, including requesting quotations, evaluating options, and following up on delivery, installation, and support activities.

8. License & Subscription Management

  • Track and manage renewal dates for all IT-related subscriptions and licenses.
  • Monitor and follow up on annual/periodic renewals for:
  • Website domains and hosting
  • Microsoft 365 licenses
  • Antivirus and endpoint security subscriptions
  • Firewall and security appliance licenses (FortiGate)
  • Any additional IT services or SaaS subscriptions
  • Ensure timely renewal to avoid service interruption.
  • Maintain accurate documentation of license counts, expiry dates, and usage.

9. Documentation & Continuous Improvement

  • Maintain up-to-date documentation of network diagrams, configurations, and system procedures.
  • Recommend and implement improvements to enhance performance, reliability, and security.
  • Assist in IT projects such as infrastructure upgrades, software rollouts, or office relocations.
  • Review existing IT procedures, infrastructure layout, and configurations, and recommend improvements to enhance performance, security, and operational efficiency


Qualifications

  • Bachelor degree in Information Technology, Computer Science, or a related field.
  • Minimum 3 years of experience in IT systems and network administration.
  • Strong experience managing FortiGate firewalls (VPNs, security policies, NAT, IPS, etc.).
  • Hands-on experience with Windows Server, Active Directory, DHCP/DNS, and Group Policy.
  • Good knowledge of Microsoft 365 admin center, Exchange Online, and Teams management.
  • Experience in configuring and maintaining network switches and wireless access points.
  • Understanding of basic IT security principles and best practices.
  • Excellent troubleshooting and problem-solving skills.
  • Strong organizational, communication, and documentation skills.
